Travel is essential for connecting international teams, supporting clients, delivering projects, and integrating new acquisitions. But with every acquisition and country added, the complexity and risk of managing business travel increase. Clarivate recognized the need to modernize its travel operations to keep pace with its mission and scale.

Before Navan

Clarivate’s international scale brought new challenges to travel and expense management. Different regions used fragmented systems for booking and expense management, often relying on a legacy provider and disparate local agencies. “Our systems were fragmented, with every region managing travel and expense differently,” said Wendy Pieper, global travel program lead. “We didn’t have real-time visibility, so manual reconciliation dominated our team’s workload — often, it involved trying to untangle inconsistent reports after trips were already completed.”

Finance teams spent significant effort manually reconciling travel expenses and investigating discrepancies. Employees frequently treated hotel rate caps as a starting point rather than a ceiling, driving costs up: “Policies intended to save money were being misused,” Pieper noted.

Additionally, support for travelers was inconsistent — often limited to business hours and unreliable during travel disruptions in other time zones. “When employees needed urgent help, it wasn’t always available,” said Pieper. “This put unnecessary strain on teams and exposed the company to risk.”

The most persistent challenge was the opaque, unpredictable fee structure of Clarivate’s legacy provider. “The headline booking fee was just the beginning,” said Pieper. “After factoring in extra support charges, after-hours markups, and complex add-on fees, the real cost of travel was far higher than expected. It made forecasting travel spend a guessing game.”

Migration was phased and communication was clear, with change champions identified in each region and a strong focus on training and support. “The onboarding was one of the best we’ve experienced — clear training, live support, and instant positive feedback from employees,” said Pieper. “Mobile adoption soared, and previously off-platform bookings dropped to near zero.”
