TruBridge, a leading healthcare solutions company based in Mobile, Alabama, with 3,500-plus employees, provides software and services to more than 1,500 clients across the U.S. Their operations depend heavily on business travel. “We’re partnering with hospitals across the U.S., and have operations both domestically and internationally,” said Rhonda Stringfellow, executive administrative manager at TrueBridge. “Travel is part of our business.” As the company grew and modernized, it became clear that its legacy travel and expense processes could no longer keep up with the needs of a dispersed, fast-moving workforce.

Before Navan

Before implementing Navan, TruBridge relied on a homegrown travel system that dated to the 1980s. “We had a relationship with a local travel agency, and two agents worked out of our office,” Stringfellow recalled. “Employees would submit a travel request, and the agents would book the lowest-priced flight — not necessarily the one the employee wanted.” 

Expense management was equally tedious. “For a long time, we required the use of physical receipts,” said Stringfellow. “You had to turn them in with your travel request, and one person would manually go through every expense report every week. If you missed the Monday deadline, you might have to wait two more weeks for reimbursement.”

TruBridge briefly tried a different travel and expense solution after acquiring a company that used the platform, but the experience was ultimately unsuccessful. “We were trying to make that solution fit our existing workflow, instead of modernizing our process, and it was a losing effort,” said Stringfellow. “Whether it was travel or expense, there was always a complication that limited our ability to successfully automate processes.” 

The company reverted to its old manual system until the current CEO made modernization a top priority. “He said, ‘Number one item — let’s fix travel and expense,’” said Stringfellow.

Navan was the only company that could consolidate everything — travel, expense, and payments — into one platform.

Why Navan

When TruBridge began evaluating new solutions, the team had one clear goal: simplify. “We had three different systems — one for travel, one for credit cards, and one for expenses,” Stringfellow said, “but we wanted a one-stop shop.” During the RFP process, TruBridge revisited Concur and explored other options, but they all required third-party integrations and human intervention. “Navan was the only company that could consolidate everything — travel, expense, and payments — into one platform,” said Stringfellow. 

TruBridge launched both travel and expense management solutions with Navan in January 2023, consolidating systems and transitioning company cards to a centrally managed model. “Before, employees were responsible for paying their own company credit cards,” Stringfellow explained. “If they left with outstanding expenses, we were on the hook. Now, with Navan cards and clear spending controls, that risk is gone.”

Navan’s impact was immediate. “If you talk about value, start with ease of use,” said Stringfellow. “You don’t realize how much time you waste booking travel and reviewing expenses until you’re not doing it anymore.” She estimated that managers previously spent up to 20 hours a month reviewing expense reports — time that’s now reduced to under five minutes. “With Navan, managers only see the things they need to review, not every little expense. The time savings are huge.”

Navan also empowered TruBridge to rethink its travel policy. “We’ve shifted to trust-based, dynamic policies that give employees more freedom while still maintaining guardrails,” said Stringfellow. “It sent a message to employees that we really care about them. They have options, they have trust — and that’s powerful.” Even new executives quickly see the value. “One of our newest leaders asked me, ‘Where has this been all my life?’”

We’re getting back to face-to-face relationships, and Navan makes that easy. At the end of the day, it’s not just about saving money – it’s about making travel work better for everyone.

Since implementing Navan, TruBridge has modernized every aspect of its travel and expense program — streamlining workflows, improving visibility, and empowering employees with tools that make travel much easier. “What used to take days now takes minutes,” said Stringfellow. “It’s changed how we think about travel.”

With Navan now rolled out to TruBridge’s India team and a continuing increase in travel volume, the company is well-positioned for growth. “We’re getting back to face-to-face relationships, and Navan makes that easy,” said Stringfellow. “At the end of the day, it’s not just about saving money — it’s about making travel work better for everyone.”
