As the company expanded and employee travel increased, the need for a consolidated solution became clear. CarParts.com turned to Navan to streamline business travel, enhance expense management, and drive cost savings.

Before Navan

Before implementing Navan, CarParts.com managed travel and expenses through a mix of consumer travel sites and a traditional agency model. While the system functioned, it lacked centralized visibility, making it difficult to track traveler locations or spending in real time. “There was travel policy in place, but enforcing it was a challenge without the right tools or controls,” explained Roy Reuter, Senior Director of Indirect Procurement. 

Expense management was similarly fragmented. Without a centralized system, the process relied heavily on manual entry and approvals, often requiring employees to cover the costs up front.  

Manual reconciliation in Excel added to the complexity, making the process time-consuming for both travel and finance teams.

Why Navan

CarParts.com evaluated multiple providers — including FCM Travel and Amex GBT — but ultimately chose Navan for its unified travel and expense platform. The goal was to simplify the employee experience by eliminating the need to toggle between separate booking and expensing systems. “We ran a full RFP process to find the right partner,” said Roy. “Navan stood out for its ease of use and seamless integration of travel and expense.”

During this process, CarParts.com was also considering a separate corporate card RFP — until the company discovered that the Navan Card was already built into the platform. “It was a no-brainer,” Roy added. “Everything we needed was already there.”

Since implementing Navan, CarParts.com has significantly improved how it manages travel and expenses across the organization. Brittney Saiz, Executive Assistant to the CFO, led the rollout by establishing new policies and training employees on the platform.

“Rolling out any new system has its challenges, like driving adoption and learning a new tool,” said Brittney. “But Navan made it easy. Updating policies is often as simple as clicking a button, and their team has been incredibly responsive — especially when employees need help rebooking flights or navigating travel options.”

By requiring all employees to book travel through Navan, CarParts.com has gained greater financial oversight, along with measurable cost and time savings.

With Navan, the finance team now benefits from  real-time insights that support more accurate forecasting and tighter budget control. “Having the Navan Card took the stress out of having to travel for work,” said Roy. Brittney highlighted the added convenience: “One standout feature is how the cards automatically activate based on travel bookings — it’s seamless and gives us more control.”

Roy has also seen a major reduction in the time spent managing travel and expenses. “With Navan, you get the gift of time back,” he said. “Everything is easy to manage. Once the policy controls are in place, I don’t have to worry about anything.”

Roy previously spent around 30 minutes each day managing travel and expenses. With Navan, he now only checks in just once a week, saving nearly 2.5 hours per week. “If we ever need to modify or change something in our policies, it takes only seconds,” he added.
